Create an inventory before requesting replacements
List each available record, its issuing body, issue date, identifying number, and current holder. Mark whether you have an original, a certified copy, an ordinary scan, or only a reference to the document. This inventory helps an adviser distinguish a genuinely missing record from one held elsewhere, and avoids paying for several versions before the actual requirement is understood.
Preserve every spelling and date
Copy names exactly as they appear in each document, including Arabic text where available. Record differences in transliteration, order, or spacing without deciding that one version is necessarily incorrect. Note which calendar is used for dates and whether a conversion has already been made. A lawyer or qualified translator can then assess the discrepancy using the complete record.

Ask what procedure fits the problem
Correction, replacement, registration, and certification are different requests. Ask the relevant office or adviser which process applies and what evidence is needed for your circumstances. Do not edit a scan to make documents appear consistent. Keep any written refusal or explanation of a missing requirement, since it may help the next person understand why an earlier attempt failed.
Check assistance eligibility directly
UNHCR’s Yemen information describes civil-document support for refugees and asylum-seekers, including help with birth, death, marriage, and divorce records. That description does not establish that every reader qualifies or that every service is available at a particular location. Explain your status and document problem to the relevant provider and confirm the current scope of assistance before relying on it.
Make a submission copy and a return plan
Prepare a separate copy of everything submitted, including translations and application acknowledgements. Ask whether originals are retained and how they are returned. Keep a simple log of submission dates, reference numbers, and follow-up instructions. If another person is collecting a document, confirm the authority and identification expected rather than assuming a family relationship will be enough.
